Event terms and conditions

These terms apply unless we specifically agree different terms for a particular seminar or event. Different terms and conditions may apply if a booking is made through a partner organisation website, please check at the time of booking.

Eligibility

Our training seminars are specifically tailored to support the development of people working with charities and other social purpose organisations. We therefore reserve the right to refuse attendance to individuals who may not fit this category.

Bookings

We use Eventbrite to manage our event bookings. All bookings must be made through Eventbrite, which can be accessed via our website www.sayervincent.co.uk/events. All bookings are subject to availability. We restrict the number of delegates from a single organisation to a maximum of two for each event. Additional delegates from the same organisation may request that their details to be kept on a waiting list and may be offered a place at a later date subject to availability. If you have any queries or problems with your booking, please contact us using the details at the bottom of these terms and conditions.

Confirmation

You will receive an automatic booking confirmation from Eventbrite once you have completed your registration form – this is to confirm we have received your details, but does not confirm your acceptance to the event.  We review all bookings for eligibility and payment where necessary. Bookings are processed manually by a member of staff, Monday to Friday 09:30 – 17:30. You will receive an email from events@sayervincent.co.uk to confirm your place (with invoice attached where applicable).

We aim to process any bookings made outside of working hours during the next working day, however backlogs from high demand or public holidays could cause a slight delay to the processing of your booking. Please be assured that your place remains reserved, and we will send you a confirmation email as soon as possible.

Fees

Events are free for all Sayer Vincent clients unless specified otherwise. We consider a client to be an organisation that we have provided paid services for within the last 6 months. A fee of £75 plus VAT (for half day seminars) or £150 plus VAT (for full day seminars) will be applicable for non-client delegates.

Invoices

All invoices are addressed to the charity or social purpose organisation connected to the booking unless agreed in advance with us. All fees are subject to VAT and are payable within 30 days of issue. Any queries concerning invoices should be raised with us within 14 days of the date of issue of the invoice. Payment is expected prior to the event, and can be made by cheque or bank transfer only.

Transfers

You may request to transfer your place to another individual in your organisation. Places can be transferred at any time up to and including the day of the event, although please be aware this may not be reflected in documentation (i.e. attendee badges) if given at short notice. You can do this by updating the delegate details in your Eventbrite booking, or by contacting us using the details at the bottom of these terms and conditions.

Cancellations

If you can no longer attend an event, please do let us know – our events often have waiting lists, and non-attendance without notice is highly detrimental to potential delegates on the waitlists. Cancellations can be made through your Eventbrite account, or by contacting us using the details at the bottom of these terms and conditions.

Non-attendance

Please note that non-attendance without sufficient notice (i.e. a minimum of 24 hours prior to the event, unless specified otherwise) may result in you being charged the full cost of the event. Multiple incidents of non-attendance without sufficient notice may affect the likelihood of you being accepted onto future events.

Event changes/cancellations

It may be necessary for reasons beyond our control to change the content, timings, speakers, date of the event or venue at any time prior to the event itself. If we have to cancel an event, we will always strive to provide delegates with as much notice as possible. In the event of cancellation, we will provide a refund of the full cost of the event to paying attendees only. We will not accept liability for any further costs to delegates.

Venues

We use a number of venues for our events. Details of the venue will be listed in the booking information and in your confirmation email.

Data protection

Any personal data provided to us by you, or on your behalf, in the process of booking or attending an event will be treated in accordance with the current data protection legislation. We use your personal data to deliver event services, administration (including delegate list) and communications relating to the event, including invoicing and where applicable. If you would prefer not to be included on the delegate list please let us know in advance of the event (please note we may be unable to make changes to the list once it has gone to print). We may also share some relevant personal data with speakers and venues if required to meet our event obligations to you. Our service

If at any time you would like to discuss with us how our events could be improved or if you are dissatisfied with the service you have received, please contact us using the details below. We undertake to look into any complaint carefully and promptly. If we have given you a less than satisfactory service we undertake to do everything reasonable to put it right.
